About This Role
This position is responsible for providing comprehensive administrative, organizational, and operational support for all activities within the Deans Office. This includes coordinating academic planning, faculty support, student services, scheduling, communications, reporting, and project management initiatives. The role also ensures the Deans Office is represented professionally and contributes to fostering a positive, service-oriented environment.
What Youll Do:
Administrative Support
- Manage the Deans calendar, including appointments, meetings, travel arrangements, and event coordination.
- Prepare correspondence, reports, memos, presentations, and meeting materials.
- Handle incoming communications (email, phone, mail) and respond or route as appropriate.
- Maintain confidential files, records, and documentation in compliance with institutional policies.
Faculty and Student Support
- Serve as a primary point of contact for faculty, staff, and students seeking assistance from the Deans office.
- Support student academic processes such as grade changes, petitions, and academic notifications.
- Assist faculty with administrative needs, including document preparation, forms, and digital submissions.
Office and Project Management
- Organize and maintain office systems, supplies, and equipment.
- Prepare agendas, take minutes, and track action items for committees and academic meetings.
- Coordinate academic events such as orientation, award ceremonies, workshops, and advisory committee meetings.
- Support special projects assigned by the Dean.
Data and Document Management
- Maintain academic databases, reports, and spreadsheets for enrollment, scheduling, faculty assignments, and other metrics.
- Assist with data collection and analysis for institutional reports and accreditation documentation.
What Youll Need:
Education and Experience
- High School Graduate; Associates or Bachelors degree preferred.
- Minimum five (5) years of administrative experience, preferably in higher education.
- Experience supporting leadership-level administrators is highly desirable.
Competencies and Skills
- Excellent communication, interpersonal, and customer service skills.
- Strong organizational abilities and attention to detail.
- Ability to manage multiple priorities, meet deadlines, and work independently.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook
- Ability to handle confidential information with discretion and professionalism.
- Strong problem-solving skills and ability to adapt to a fast-paced academic environment.
Work Environment
- Typical office setting within an academic institution.
- Requires occasional evening or weekend hours during peak academic periods or special events.
- Light lifting of materials and equipment as needed.
